Maintaining a State of Constant Compliance

You might assume compliance is something you check the boxes on and never think about again. Think again. The regulations are constantly in flux. You wake up one morning, and OSHA has introduced a new set of rules. How do you keep up with it? Well, it’s easy—make it a habit with the following:
  • Sign up for regulatory agency updates
  • Attend training seminars
  • Don’t avoid technology that keeps you in the know
The key to making it work here is understanding. Compliance is not a one-time activity; it’s a continuous, cyclical process of monitoring and updating. If you’re not keeping up, you’re exposing the company to avoidable risks. You must be proactive, not reactive.

Training Needs to Be More than Checking-Off Boxes

Safety training should involve actively investing in your people. Safety protocols are not a rush job or a one-off PowerPoint presentation. Get hands-on.
  • Demonstrate how to handle things in a crisis
  • Walk the team through actual scenarios
  • Unpack case studies
  • Give them what they need to grasp the “why” behind the rules
Safety is a mindset. Compliance becomes a distant memory without proper training. Warehouse workers must prepare themselves with the necessary information to reduce risk and face any situation. Regular refresher training is a prerequisite. The training program should include new software, machinery, and essential upgrades annually.

Safety Equipment—It’s Never Optional

Personal protective equipment (PPE) keeps your workers safe. They can include:
  • Gloves
  • Helmets
  • Goggles
  • High-visibility clothing
These items are essential for a safe work environment. They reduce risks from hazardous material handling, falling objects, and machinery. Just handing out PPE isn’t enough. You must have the proper equipment in the appropriate locations and readily available to your staff. Your warehouse design must build a safety culture, from well-labeled walkways to easily accessible fire exits. Here’s where most warehouses fall in audits: proper equipment maintenance. You can’t install equipment and overlook its maintenance requirements. Daily safety equipment inspections (emergency lighting, fire extinguishers, emergency exits, etc.) should be a mainstay of your operational safety. Lockout/tagout procedures are vital. Ensuring equipment is safely shut off and can’t be restarted during repair or maintenance prevents accidents. The Occupational Safety and Health Administration (OSHA) guides these essential procedures. OSHA requires employers to implement a written LOTO program.

Safety Standards in Warehousing: Be Proactive, not Reactive for Safe Operating

Accidents are unavoidable, but you can reduce frequency and severity by being proactive. You can’t wait for a safety incident before acting on a problem. Identifying hazards before they become significant issues differentiates good warehouse management from excellent warehouse management. You’ll catch problems faster and before they become major issues when you:
  • Establish frequent audits
  • Patrol around your area
  • Instruct staff members to report as soon as they notice hazards

Documentation—Your Paper Trail to Safety

Paperwork is not really what most of us imagine doing when it comes to safety. However, if you don’t have it up to date and available for inspection, you’re just inviting trouble. Compliance and paperwork are your best friends when audit season rolls around. Document training sessions, maintenance history, and inspections. Everything you can write down—write it down.

“Culture of Safety” Shouldn’t Be a Buzzword

These tactics boil down to a simple mantra—build a culture of safety. Safety standards should become a part of your operational DNA. When everyone’s thinking on the same page, there are fewer accidents. Your team feels safe and confident. Safety isn’t just management’s job—It’s everyone’s job.
